Field operations

Field operations is the toolkit for the people who physically run your apartments: the clean between one guest and the next, a monthly walk-through and a deeper quarterly audit, repairs from first report to the receipt, and a scorecard that shows how each housekeeper is doing.

It has four parts:

  • Turnovers — the clean between stays, created automatically from bookings and channel reservations, worked room by room from a photo checklist in the mobile app, and reviewed by a manager before the next guest arrives.
  • Inspections & audits — a monthly inspection per apartment for the housekeeper and a quarterly audit for a manager, both generated on a schedule, plus spot checks on reviewed cleans.
  • Repairs — work orders reported from the field, with priority deadlines, tradespeople, before/after photos and owner approval for the expensive ones.
  • Scorecards — one row per housekeeper per month: cleans done, first-time pass rate, on-time rate and time per clean, exportable as CSV.

Field operations is built for a business with staff on the ground. It’s a paid feature: it switches on for workspaces on the Growth plan and above, and stays off on Free. When a workspace moves onto a plan with field operations, ShortletBox backfills turnovers for the stays already on the calendar and creates the current month’s inspections and quarter’s audits.

Field staff get their own role, one step below Staff. A Field user signs in to the field wing of the ShortletBox mobile app — Today, Upcoming and You — and that’s the whole surface: they’re bounced away from the admin app and the landlord portal, and every policy resolves to nothing for them except their own jobs. The next guest appears by first name only — never a phone number, email or ID — and no money appears anywhere in the app.

Add housekeepers and handymen with the Field role from Settings → Team. The role is only offered on plans with field operations; a field user’s access survives a downgrade, but new field logins can’t be created without the feature.

Owners get a Field operations card under Settings with the numbers every deadline is worked out from (all times are Lagos, WAT):

Setting Default
Ready by 14:00
1-bed clean (minutes) 180
Each extra bedroom (minutes) 60
In-person check target (%) 25
Urgent repair · on site (minutes) 60
Urgent repair · fixed (hours) 4
Important repair (hours) 24
Cosmetic repair (hours) 72
Approval needed above (₦) ₦50,000

Per property, the Field operations card on the property page sets the Default housekeeper, the How to get in access note (shown to field staff only around their job), and the checklist for each job kind.

Three scheduled jobs keep everything in step:

  • A nightly sweep at 04:15 WAT re-decides every upcoming stay’s turnover, catching anything a missed webhook left behind.
  • Every day at 05:00 WAT the month’s inspection and the quarter’s audit are created for every active property.
  • Every 10 minutes, alert jobs push your team when a clean hasn’t started in time or misses its ready-by, fail a redo the next guest has overtaken, and flag repairs that missed a deadline.

Not built yet: expense approval, a per-turnover bonus export and inventory/stock tracking are planned but don’t exist.
