Repairs
A repair is a problem at an apartment tracked to its fix: reported from the field or the admin, given a priority and a deadline, fixed by a tradesperson or a housekeeper, and settled as an expense with before/after photos on record.
Reporting a problem
Section titled “Reporting a problem”Anyone in the field can report. In the mobile app, a + Report a problem button sits at the end of Today, and each turnover and audit room has a Report a problem link that ties the repair to the job and copies the room’s photos in as evidence. A housekeeper can report at any active apartment where they have an open job or are the default housekeeper — the app offers exactly that list. Managers can also Log a repair from the admin. A retried report makes one repair, never two, and its photos ride the same offline queue as turnover photos.
Your team hears the moment a housekeeper reports something.
Priorities and deadlines
Section titled “Priorities and deadlines”Every repair needs one of three priorities; until it has one it reads Needs a priority and carries no deadline at all. Deadlines are worked out on read from the moment the problem was reported, with your own hours from Settings → Field operations → Repair deadlines:
| Priority | Default deadline |
|---|---|
| Urgent (no power, water, AC, a lock, a leak, a security issue) | On site within 60 minutes, fixed within 4 hours |
| Important | Fixed within 24 hours |
| Cosmetic | Fixed within 72 hours — or by the end of a guest’s checkout day if a guest is in the unit then |
Changing the priority moves the deadlines immediately and re-arms the late alerts.
When an estimate needs approval
Section titled “When an estimate needs approval”Repairs estimated above Settings → Field operations → Approval needed above (₦) — ₦50,000 by default — don’t just happen. A non-urgent repair above the threshold holds in awaiting approval until one of two people decides: the business owner, or the landlord of that unit. Whoever acts first decides; the second is told it’s already been decided. The job screen and the landlord portal both carry Approve / Decline:
- Decline needs a reason and sends the repair back for a new quote — a fresh estimate above the threshold asks again.
- Waiting time doesn’t count. The deadline clock pauses while the repair waits for a decision (“Waiting for approval since …”) and resumes on it; no breach alerts fire mid-wait.
- Urgent repairs don’t wait. An urgent repair above the threshold goes ahead, flagged “Urgent — fixed without waiting for approval”, and the approvers hear that it did.
- Overruns are flagged. A final cost more than 20% above the approved estimate flags the repair and tells the approvers.
Approval lives in the admin’s repair page, in the manager app, and in the landlord portal under Repairs — the one write the otherwise read-only portal allows.
Fixing it
Section titled “Fixing it”A repair is fixed by exactly one of two assignees — a contact (name, phone, trade) from your tradespeople list, or a field staff member for small fixes — never both. Contacts have no login and are never sent anything; managers phone them. The field app knows nothing about the contact side: no phone numbers, no costs.
The lifecycle: reported → assigned → on site → resolved, or cancelled with a reason from anywhere before it’s resolved. Photos before and after are required evidence (private to your team), and Resolve demands a note saying what was done — no note, no closure.
Settling the money is one step: entering the Actual cost on resolve opens the expense form pre-filled (category repairs, the payee, the amount), linked to the repair exactly once. On a landlord’s unit the cost is deducted from the landlord by default, and it lands on their statement like any other expense.
Where you manage it
Section titled “Where you manage it”- Admin → Field → Repairs lists open and resolved repairs — the ones needing a priority first, then late, then by deadline — with a nav badge counting what needs you. The repair page holds the photos, priority, assignee, estimate and approval panel, and every transition. Contacts manages the tradespeople list (add, archive).
- The dashboard shows a Repairs past their deadline card.
- Turnover and inspection rooms show N issue reported · “…” → Repair opened once a repair exists for them.
- In the field app, Today lists assigned repairs between the day’s cleans by deadline (“Ikoyi studio · AC not cooling · Urgent · fix by 1:30pm”), and the repair screen walks the fix: I’m on site, photos of the repair, a note, Done — which waits for the photo, the note and every upload.
Nudges
Section titled “Nudges”An alert job runs every 10 minutes: the team hears once per missed deadline (repair_late), owners hear when a repair is made urgent, approvers hear when one needs them, went ahead urgent or overran, and the team hears when a decision lands. Push notifications never carry amounts.
